When most people think about fundraising, they imagine stress.
They imagine begging for donations, struggling to find sponsors, chasing volunteers, and spending more money than they raise.
I used to think the same thing.
But one simple fundraiser completely changed my perspective.
It wasn’t a gala.
It wasn’t a banquet.
It wasn’t a complicated event with expensive equipment and months of planning.
It was a simple 5K Walk/Run! Yes, SIMPLE and it’s about to get a lot more simple for you.
And it generated approximately $3,000 in profit while starting with little to no capital.
The best part?
It wasn’t difficult.
In fact, once the foundation was in place, everything got easier. The event itself lasted only about three hours.
Participants arrived, registered, walked or ran, enjoyed refreshments, received awards, took photos, and went home.
That’s it.
So how did we do it?
Let me show you exactly what happened.
It Started With One Meeting
The first thing we did was gather our youth group.
Nothing fancy.
We simply sat down and finalized:
- The event date
- The event time
- The route
- The fundraising cause
- Team responsibilities
This step alone eliminated a lot of confusion.
Everyone knew what was expected before we started promoting anything.
If you have a large team, that’s great.
If you only have two or three people helping, that’s fine too.
I’ve learned that organization matters more than numbers.
Assign Simple Roles
For example:
The Treasurer handled:
- The event budget
- Participant database
- Registration records
- Forms and bib distribution
The Public Relations Officer handled:
- Flyers
- Social media
- Town cry announcements
- Event promotion
The Logistics Team handled:
- Event setup
- Banners
- Decor
- Presentation area
- Refreshment station
On event day we also had:
- An MC from our group
- A volunteer warm-up instructor
- Community officers assisting with safety
- Medical support from a nurse within our group
You don’t need to hire a large professional team.
Use the skills already available within your church, school, youth group, workplace, or community.
Promotion Started Early
One mistake many organizers make is waiting too late to advertise.
As soon as we finalized the basics, we started promoting.
We created flyers.
We shared them on social media.
We sent them through WhatsApp.
We announced the event in churches, schools, and community groups.
The goal wasn’t to get registrations immediately.
The goal was to create awareness and interest.
The earlier people hear about your event, the more likely they are to participate.
We Secured Permission First
Before anything else, we sought permission to use the route.
This step is important.
Nothing destroys an event faster than discovering you cannot use the route you’ve already advertised.
Getting approval early gave us confidence to move forward.
Sponsorship Reduced Expenses
One of the smartest things we did was seek sponsorship.
We approached local businesses and organizations.
We requested assistance with:
- Awards
- Refreshments
- Supplies
Many people are willing to support a worthwhile cause if you simply ask professionally.
This reduced our out-of-pocket expenses significantly.
We Didn’t Start With T-Shirts
Many organizers believe custom shirts are mandatory.
They’re not.
When we first started, we had no budget for shirts.
Instead, participants wore:
- A designated color
- School uniforms
- Team jerseys
- Church shirts
It worked perfectly.
As the event grew, we later introduced shirts.
Don’t let a lack of shirts stop you from starting.
We Created A Professional Experience
People love being part of something that feels organized.
That’s why we created:
- Race bibs
- Registration forms
- Participant records
- Route maps
- Certificates
Even simple touches make a huge difference.
Participants feel valued.
Sponsors take the event more seriously.
The community trusts what you’re doing.
Safety Was A Priority
We ensured medical support was available.
A nurse from our group assisted with participant health concerns.
Participant medical information was collected during registration and shared with the medical team beforehand.
We also arranged emergency transportation and maintained communication with community officers.
Preparation creates confidence.
Transportation Matters
Depending on your route, you may need a shuttle.
If participants finish where they started, this may not be necessary.
If the finish line is elsewhere, a shuttle service can greatly improve the participant experience.
We arranged transportation when needed to return participants to their vehicles.
The Event Day Was Surprisingly Simple
After all the preparation, the event itself was easy.
Participants arrived.
They registered.
They received bibs.
They walked or ran.
They received refreshments.
Winners were recognized.
Photos were taken.
Everyone went home happy.
The event lasted approximately three hours.
Months of impact.
Just a few hours of execution.
The Secret Most People Miss

The money wasn’t made because we had professional event planners.
